📸 Face Verification

How does face verification work?
When an employee is added, their photo is processed to create a unique facial encoding. During login, the employee simply looks at the camera. The system captures their face, compares it against all registered employees, and verifies their identity in seconds - no ID or password needed.
Is face verification secure?
Yes! We use advanced multi-layer anti-spoofing technology to prevent fraud attempts using photos, videos, or phone screens. The system detects natural micro-movements (blinking, breathing) that only a real person can produce. All facial data is encrypted and stored securely.
How fast is verification?
Face verification typically takes 2-3 seconds from camera activation to being logged in, including the liveness check.

🛡️ Anti-Spoofing Protection

What is anti-spoofing?
Anti-spoofing prevents employees from using photos, videos, or phone screens to clock in instead of their real face. Our system uses motion detection and image analysis to ensure only live faces can log in.
How does anti-spoofing work?
Our two-layer defense system:
  • Motion Detection - Analyzes multiple video frames to detect natural micro-movements (blinking, breathing). Still images show zero motion.
  • Image Analysis - Detects screen patterns, glare, and unnatural image characteristics typical of photos or screens.
What happens if someone tries to use a photo?
The login is blocked immediately with a security alert. The system captures a screenshot, identifies who the photo belongs to using face matching, and logs the incident for HR review in the Security Dashboard.
How do I review security incidents?
Go to your Admin Dashboard and click "Security Notifications". You can:
  • View Evidence - See the screenshot of the spoofing attempt
  • Resolve Incidents - Take action (warning, retraining, suspension, etc.)
  • Track Status - See which incidents are resolved or pending
Can I disable anti-spoofing?
Yes, admins can disable anti-spoofing in Settings → Security Settings. However, we strongly recommend keeping it enabled for maximum security.

⏰ Missed Clock-Out

What happens if I forget to clock out?
If this feature is enabled by your admin and you forget to clock out or close the tab without logging out, the system will detect your open session when you try to clock in again. You'll be asked to provide your actual clock-out time and reason, then you'll be automatically logged in for the new session.
How do I submit a missed clock-out claim?
  1. When you try to clock in with an open session, you'll see the missed clock-out form
  2. Enter the time you actually left work
  3. Select a reason (forgot, closed tab by accident, system issue, emergency, etc.)
  4. Submit the form
  5. You'll be automatically logged in for today
Your claim will be sent to your admin for review.
How do admins review missed clock-out claims?
Admins see a warning banner in the dashboard when there are pending claims. Review claims from Admin Dashboard → Missed Clock-Outs. For each incident:
  • Approve - Accept the employee's claimed logout time
  • Reject - Override with a different logout time
  • Add Notes - Document the resolution for audit purposes
The resolution updates the actual work log in the database.
How do I enable missed clock-out detection?
Go to Settings → Missed Clock-Out Management and enable "Missed Clock-Out Detection". This feature is disabled by default. You can also optionally enable "Block Reports Until Resolved" to prevent scheduled reports from sending until all incidents are resolved.

👔 For HR Administrators

How do I add employees?
  1. Log into your admin panel
  2. Upload a clear photo of the employee's face
  3. Enter their first and last name
  4. Click "Upload Employee"
  5. The employee can now log in using just their face
How do I generate reports?
Go to the Payroll & Analytics section in your admin panel. Filter by date range and employee name. Reports can be exported to CSV/Excel compatible with Xero, Sage & QuickBooks.

How do I enable geolocation?
  1. Go to your company Settings page
  2. Find the "Geolocation Tracking" section
  3. Select "Enabled" from the dropdown

  • Multiple map styles - Switch between Street Map, Satellite, and Terrain views
  • Detailed popups - Click any marker to see employee name, ID, login/logout times and addresses
  • Color coding - Blue markers for currently logged in, gray for logged out
Is geolocation tracking GDPR compliant?
Yes! Geolocation is disabled by default and requires explicit employer consent to enable. Employees are informed when location tracking is active, and the browser requests their permission before capturing location data.
